Tips on transcribing your audio clips

For certain projects, you’ll need to transcribe recordings verbatim – every word, exactly as spoken. Here’s what you need to know to ensure your transcripts get accepted.

Capture every word

Transcribe recordings verbatim, capturing every word exactly as spoken.

Keep letters in lowercase

Use lowercase letters for everything except proper nouns like names and brands.

Check your spelling

Always check your transcripts to catch any typos or spelling errors before submitting.

Include punctuations

Use single punctuation marks to end sentences. While commas are optional, avoid strings like “!!!” or “?!”

Use dictionary words

Stick to words found in a standard dictionary. For example, instead of “waouh” or “waaaaahhh,” use “wah.”

Tips on recording high-quality audio clips

These are general audio recording guidelines. Always refer to your specific project’s instructions if anything differs.

Record continuously

Aim for smooth recordings without pauses in the middle of your speech.

Mind the background

Match the background noise level (e.g. quiet room, crowded area) to the project’s requirements outlined in the guidelines.

Review for completeness

Ensure that your audio clip includes everything you said. Recording with a short silence (around 1 second) at the beginning and end helps avoid cutting off words.

Frequently Asked Questions (FAQ)

When you receive your account activation email, we recommend clicking “Activate Account” button rather than manually entering your code as it expires within an hour.

This will direct you to log in page where you will create a password for your account.

If you are on multiple projects and currently work from another vertical besides Halo, you can change your current vertical by clicking on the drop-down on the top-left of the page, next to the SRT logo.

If you access your project’s vertical and cannot see the assigned queues, please select the “Show Empty Queues” box then select “Show”.

If you are still unable to see your queue, please file a ticket support and request assistance.

If you ever run into a situation where you receive the “No More Jobs” or “No Jobs Available” message, please submit a Support ticket. That said, before you select a ticket, make sure you select “Just Go”. Sometimes the queue looks empty, but there are actually plenty of jobs available.

In the following example, it appears that there is only 1 job available:

But if we click “Just Go”, we can see there are plenty of jobs available:

1. You switch away from “Available” status.

2. You close the job review page without making a decision, skip or transfer.

3. You open another job review page for the same job, make a decision, skip or transfer then close the first job review page.

4. You open another job review page but close it without making decision, skip or transfer.

5. You open a closed job for reference.

6. You close the entire browser or reboot the computer before making decision, skip or transfer.

7. Your workstation shuts down due to power outage.

8. Your SRT is disconnected due to connection issues.

These actions will not increase your no handle time:

1. You open another tab to read the relevant policy.

2. You open another tab to search for info on the internet.

3. You open another tab to read content from internal workplace group.

4. You chat with your teammate/SME/team lead to seek advice in another tab.

Here’s what you should do:

1. Focus on one job at a time.

2. Use single job review page only.

3. Finish the job before switching to another status or viewing another job.

4. If you are supporting a colleague and need to open and view the job in your SRT, close the job view page as soon as you are done with it.

5. Focus on using ADT benchmark (not no-handle) to manage efficiency.

Don’t do these:

1. Open multiple tabs to view multiple jobs.

2. Go away before you complete the job.

3. Switch to another status until you have completed the job on your screen currently.

4. Refresh the job review page unnecessarily.

Yes, it will but you can still do it because the reason is valid but remember to close the additional job review page as soon as you are done.

SRT will only log the time when the rep is active on the job review page.

For example:

Job review page 1 – actual job – duration of 2m20s – total active time till decision – 2 mins handle time

Job review page 2 – for reference – active viewing of 20s then close it – 20 secs no-handle time

Our guidance is that you should always complete the job at hands first before switching away from Available status to do something else or to take a break.

However, if a reviewer ever switched away from Available status before making a decision on the job, a no-handle event would be recorded but when the reviewer is back to Available status to decision on the same job, a decision event will be recorded too.

Eventually, the same job ID would have recorded one no-handle and one decision events.

It is ok to record some no-handle events when there is valid reason such as opening an additional job review page to view a job for reference, a job should always be completed with a decision, transfer or skip first before moving to another job.

No-Handle time is the time spent on the job that had no action (Decision/Skip/Transfer) taken while Skip time is time spent when the job was skipped.

Yes.

The time spent in the knowledge base, 3rd party link, workplace group or even chat windows will not incur no-handle event and time. However, the time is marked as No-Handle time when the rep closes the job without an action (Decision/Skip/Transfer).

Only the job that is opened in the job review page will be counted as a No-Handle. Thus, it is important to open one job at a time, complete it before moving to another job.

Yes, because the logger will not detect a decision, skip or transfer for the closed

Yes, when the job is opened by more than 1 rep. E.g., When a rep asks another colleague to help review the same job using another workstation and the colleague closes the job without an action.

It would be considered as unoccupied time if the rep doesn’t have any job assigned. Conversely, it would be counted in ADT if there is a job assigned.
